Strait Dispatch Privacy Policy
Who we are and what this policy covers
Strait Dispatch, LLC ("Strait Dispatch", "we", "us") provides transportation management software for trucking fleets, oilfield and other hauling operations, and freight brokerages. This policy explains what personal information we collect, how we use and share it, and the choices you have. It covers:
- our website, www.straitdispatch.com;
- Fleet Manager, the web application at cloud.straitdispatch.com used by fleet owners, dispatchers, and office staff;
- the Strait Dispatch Driver app for iOS and Android;
- the portals used by a fleet’s customers, contractor carriers, and drivers; and
- load tracking links and documents sent for signature.
The businesses that subscribe to Strait Dispatch (“fleets”) decide what information about their drivers, customers, carriers, and loads they put into the service, and how it is used in running their business. For that information we act on the fleet’s behalf, as its service provider. If you are a driver or a contact of a fleet, the fleet’s own privacy practices also apply to you, and the fleet is usually the right first contact for questions about your records.
Information we collect
Website visitors
- Information you send us: when you request a demo, a workflow review, or contact us, we collect your name, company, work email, phone number, type of operation, fleet size, and anything you write in the message.
- How you found us: the forms also record the campaign details in the link you arrived from (such as UTM parameters) and the page that led you to the form.
- Usage information: our website uses the Google tag to measure our advertising, including when a visitor requests a demo or starts a free trial. See cookies and similar technologies.
Fleet Manager users
- Name, username, email address, phone number, and password.
- Two-step verification details, if two-step verification is turned on.
- The IP address and browser of each signed-in session, and records of activity such as sign-ins and changes made to work orders.
- Billing contact and billing address for the fleet’s subscription.
Drivers
- Profile: name, phone number, email address, username, password, the carrier the driver works for, and the truck and trailer assigned.
- Documents the fleet chooses to track: for example a commercial driver’s license, DOT medical card, motor vehicle record, drug and alcohol test records, H2S and SafeLand certifications, hazmat endorsement, and TWIC card, with document numbers and issue and expiration dates.
- Work records: work orders, status updates and their times, digital tickets, job safety analyses, vehicle inspections, notes, photos of tickets, receipts, and equipment, and signatures.
- Duty and hours: when the driver goes on and off duty, used to estimate hours left in a shift. If the fleet links Motive or Samsara, hours-of-service clocks from those systems.
- Pay: pay rates, earnings, and settlement records, when the fleet uses Strait Dispatch for driver pay.
- Communications: text messages exchanged with dispatch through the platform, and details of phone calls made through Strait Dispatch phone lines (numbers, times, and duration).
- Device information: the phone’s operating system and version, device model, and app version, collected when the driver signs in.
- Location: see location information.
Customers, carriers, and other contacts
- Business name, contact names, phone numbers, email addresses, and addresses entered by a fleet.
- Portal sign-in details for customers and carriers who are given access.
- For contractor carriers: insurance, operating authority, and safety information, including information received from carrier compliance services the fleet connects.
- When someone views or signs a document sent through Strait Dispatch: their name, signature, the time, and the IP address they used.
Payment information
- Cards: card payments are processed by Authorize.Net. Card numbers go directly to Authorize.Net and are not stored by Strait Dispatch; we keep only a reference to the stored payment method, the card type, and the last four digits.
- Bank accounts: bank account connections for payments are made through Plaid. We store the account details and access credentials Plaid returns so that payments can be made.
Location information
Location is central to dispatch, so we explain it separately.
- From the Driver app: the app records the phone’s location while the driver is on duty, and stops when the driver goes off duty or signs out. To keep recording while the phone is locked or another app is open during a shift, the app asks for permission to use location “all the time”. Each location point includes the coordinates, speed, heading, altitude, and time.
- From connected telematics: if a fleet connects Motive or Samsara, we receive the locations of the fleet’s vehicles from those systems and associate them with the assigned driver.
- How location is used: to show trucks on the fleet map, record arrival and departure at job sites, measure time on site, replay a trip or a driver’s shift, estimate arrival times, support billing and disputes, and show a load’s location to the fleet’s customer through a tracking link.
- Who sees it: the fleet’s authorized users. A customer who receives a tracking link from the fleet can see that truck’s location and the driver’s name while the link is active.
- Your control: drivers can stop location recording by going off duty or signing out, and can change the app’s location permission in the phone’s settings at any time. Without location permission, features such as arrival detection and tracking will not work.
How we use information
- To provide the service: dispatching work, delivering work orders to drivers, tracking loads, auditing, invoicing, payroll and settlements, reporting, and sending documents for signature.
- To process subscription payments and payments the fleet makes through the platform.
- To send service messages, such as two-step verification codes, password resets, document expiration notices, and scheduled reports.
- To provide support, investigate problems, and keep the service secure.
- To improve the service, including understanding which features are used.
- To respond to demo, review, and contact requests, and to measure how well our website and advertising work.
- To comply with law and enforce our Terms of Service.
We do not sell personal information.
How we share information
- Within a fleet: information entered for a fleet is available to that fleet’s authorized users, according to the permissions the fleet sets.
- With people the fleet chooses: customers who receive tracking links, invoices, field tickets, or documents to sign, and carriers and customers given portal access.
- With service providers that run parts of the service for us, listed below, who may use the information only to provide their services.
- With integrations a fleet connects, listed below. What is sent depends on the integration and how the fleet sets it up.
- For legal reasons: when we believe in good faith that disclosure is required by law or legal process, or is needed to protect the rights, property, or safety of Strait Dispatch, our users, or others.
- In a business transfer: if Strait Dispatch is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
Service providers and integrations
Service providers we use
- Twilio: text messages and phone calls between dispatch and drivers, and two-step verification (Authy).
- Pusher: real-time updates between Fleet Manager and the Driver app, such as new work orders, messages, and duty changes.
- Google: email delivery, maps, place search, and directions, fonts on our website, and advertising measurement through the Google tag.
- Mapping and routing services such as OpenStreetMap, OSRM, Mapbox, HERE, and Photon, to show maps, plan routes, and turn coordinates into addresses.
- Anthropic: artificial intelligence features, such as reading rate confirmations, rate sheets, and spreadsheets a fleet uploads for import, and helping build document templates. The content a user uploads for these features is sent to Anthropic to produce the result.
- Authorize.Net for card payments and Plaid for bank connections and bank transfers.
- Cloudflare: delivering and protecting our websites, including Turnstile, which checks that forms on our website are sent by people rather than automated programs.
Integrations a fleet can connect
- Motive and Samsara: vehicle locations, drivers, and hours-of-service clocks come into Strait Dispatch; driver records can be created in those systems.
- QuickBooks Online: invoices and customer names are sent to the fleet’s QuickBooks company, and payment status comes back.
- Enverus OpenInvoice and OpenTicket: invoices and field tickets are sent to the operators who bill through them, and approval and payment status comes back.
- Engage: job ticket details are sent for operators who use it.
- MyCarrierPackets and RMIS: carrier onboarding, insurance, authority, and safety information comes into Strait Dispatch.
- Report delivery: a fleet can have reports delivered to a storage location it designates.
When a fleet connects an integration, that provider’s own privacy policy governs what it does with the information it receives.
Cookies and similar technologies
- Sign-in and security: Fleet Manager and the portals use a session cookie to keep you signed in, for up to 30 days, and short-lived cookies to help with sign-in. Our website uses a session cookie to protect its forms from abuse.
- Preferences: Fleet Manager stores settings such as your theme, layout choices, and unsent drafts in your browser.
- Campaign details: our website keeps the campaign details from the link you arrived on in your browser for the visit, so they can be included with a form you send.
- Advertising measurement: our website and the Fleet Manager sign-in page load the Google tag, which uses cookies to measure our Google Ads campaigns, including demo requests and trial starts. Google’s use of this information is described in its privacy policy. You can manage ad personalization in your Google account settings, and block or delete cookies in your browser.
If you block cookies, you will not be able to stay signed in to Fleet Manager.
Driver app permissions
The Driver app asks for these permissions on the phone. Each can be changed in the phone’s settings.
- Location, including “all the time”: to record location during a shift, as described above.
- Physical activity: to tell when the phone is moving, so location is recorded efficiently.
- Camera and photos: to take and attach photos of tickets, receipts, equipment, and inspections.
- Notifications: to alert drivers to new work orders and messages.
- Bluetooth and nearby devices: to connect to supported equipment, such as trailer meters.
- Running in the background and after restart: to keep a shift’s location recording going.
How long we keep information
- Fleet records (work orders, tickets, location history, documents, messages, and billing records) are kept while the fleet’s account is active, so fleets can keep the records their business and regulators require.
- Signed documents are kept for at least seven years.
- Sign-in sessions expire after 30 days. Generated files such as invoice and report downloads are deleted after seven days.
- Website form submissions are kept as long as needed to respond and follow up on the request.
- When a fleet’s account ends, or when we receive a valid deletion request, we delete or de-identify information unless we, or the fleet, must keep it to meet legal, tax, accounting, or safety obligations, resolve disputes, or enforce agreements.
Your choices and rights
- Access and correction: Fleet Manager users can update their own profile. Drivers can ask their fleet to correct their records.
- Deletion: you can ask us to delete your account or your location data using the account and data removal request. Because fleets control their records, we may need to confirm the request with the fleet, and some records may be kept as described in how long we keep information.
- Location: drivers can stop location recording by going off duty or signing out, or by changing the app’s location permission.
- Advertising cookies: see cookies and similar technologies.
- State privacy rights: depending on where you live, you may have rights to know, access, correct, delete, or obtain a copy of your personal information, and to opt out of certain uses. To make a request, contact us as described below. We will verify your request and will not discriminate against you for making it. If your information is held for a fleet, we may refer your request to that fleet.
Security
We protect information with measures that include encrypted connections to our websites and apps, optional two-step verification that fleets can require for their users, role-based permissions, a log of changes to work orders, encryption of stored integration credentials, and card processing that keeps card numbers off our systems. No system is perfectly secure, and we cannot guarantee the security of information. Keep your password private and tell us right away if you believe your account has been compromised.
Children
Strait Dispatch is a business service for people 18 and older. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.
Where information is processed
Strait Dispatch is operated in the United States, and information is processed and stored in the United States. Some of our service providers may process information in other countries. If you use the service from outside the United States, your information will be transferred to the United States.
Changes to this policy
We may update this policy. When we do, we will change the effective date at the top of this page, and if the changes are significant we will provide additional notice, such as in Fleet Manager or by email.
