Audit rules
Write down what your best auditor checks, once
Every completed work order is checked against the same rules, so nothing depends on who is auditing today.
Built-in checks
Required readings and photos, a quantity over the trailer’s capacity, zero quantities or amounts, hours that do not match the times, billing flags, and the bill-to location, each set to Fail, Warn, or Off.
Rates and line items
A line item’s quantity or rate within limits, the carrier paid on every billed line, one of a set of items, quantities that must match, and a fuel surcharge as a percent of the haul rate.
Duplicates
The same field ticket on two work orders, or one driver on two loads at the same time.
Paperwork
Photos and files attached, the field ticket signed, and the driver’s, truck’s, and trailer’s documents current on the day of the load.
Per customer and per job
The fleet’s rules, a customer’s own set, and extra rules for a job, limited to dates or to work orders that match a condition.
Auto approve
Work orders that pass go straight to invoiceable. The rest wait under Failed last audit, with the reasons on the work order.
Import CSV
Check your loads against your customer’s own tickets
Upload the export your customer sends you, whether it comes from Gemini, OpenTicket, or any other system as CSV or Excel, and see where their numbers and yours disagree before the invoice goes out.
- Matches their tickets to your work orders by ticket number, work order number, or field ticket
- Your choice: update your work orders to match their file, or flag the differences for review
- Line items, quantities, rates, drivers, trucks, and statuses compared row by row
- Their ticket total checked against yours
- Each file layout remembered, so next month’s file maps itself
How it fits
From completed to invoiced
Driver completes the load
Times, quantities, photos, and readings from the Driver app.
The audit runs
Your rules check every work order, in batches of hundreds at once.
Passes are approved
With auto approve on, they go straight to invoiceable.
Exceptions are reviewed
Failed work orders list exactly which rule they broke.
Invoice in a batch
Run invoicing for everything approved, and send to QuickBooks or OpenInvoice.
“We went from a billing team of three to five people to one person managing more than 500 loads a day.”
Auditing questions
What does auto approve do?
Turn on Approve when it passes audit for a job, and every completed work order that passes your audit rules goes straight to invoiceable. Only the work orders that fail a rule wait for someone to look at them, with the reason written on the work order.
Can different customers have different rules?
Yes. The fleet has its rules, a customer can keep them or have its own set, and a job can add extra rules on top, such as a barrel limit on a road-restricted job or a rate that only applies from a certain date.
What if a rule should only warn?
Every built-in check can be set to Fail, Warn, or Off. A warning lets the work order pass with a note, so it is visible without holding up billing.
How does Import CSV work?
Upload the customer’s own ticket export, such as a Gemini or OpenTicket file, or any CSV or Excel file. Strait Dispatch matches each row to your work orders by ticket number, work order number, or field ticket, and either updates your work orders to match their file or flags the differences for review. Work orders are never created from a file, and it remembers each file layout for next time.
Bring a month of your loads
We will set up audit rules with you in your demo and show how many of your work orders would have passed on their own.
